# Running coaching sessions in Europe with Microsoft Teams

## You may have separate US and EU Microsoft Teams accounts to meet regional data residency requirements. Coaching EU clients is optional; without an active EU account, you won’t be eligible for EU matches.

### **Setting up and using your regional Microsoft Teams accounts**

AceUp uses separate Microsoft Teams accounts for US and EU coaching engagements to support regional data residency requirements.

If you coach in both markets, you may have **two AceUp-provided Teams accounts: one for US clients and one for EU clients**. This applies to both new and existing AceUp coaches.

This guide explains how to set up your accounts, check that you’re ready to coach, and choose the correct account for each session.

### **Why are there separate accounts?**

Data residency refers to where data is stored and processed. Separate regional Teams accounts help AceUp support the data residency requirements that apply to US and EU engagements.

**Using the correct account is important—it’s not simply a sign-in preference.** Always use the account AceUp indicates for the coachee and session.

You don’t need to determine which account to use yourself. AceUp displays the coachee’s region and indicates the required account on:

- The coachee’s profile
- Each session card
- Session reminders

### 1. Find your sign-in details

When your account is first available, you’ll receive an email directing you to retrieve your credentials from AceUp.

1. Sign in to [AceUp](https://app.aceup.com/).
2. Open **Settings → Conferencing Services**.
3. Find the regional Microsoft Teams account you need to set up.
4. Select **Get sign-in details** to view your username and temporary password.

 

Use the credentials shown for that regional account, rather than a personal Microsoft account or an account from another organization.

### 2. Sign in to Microsoft Teams

1. Open Microsoft Teams.
2. Sign in using the username and temporary password you retrieved from AceUp.
3. Follow Microsoft’s on-screen prompts to complete sign-in.
4. Return to **Settings → Conferencing Services** in AceUp to check your setup status.

Once you successfully sign in to Teams, AceUp automatically recognizes that your account has been set up. **The setup checkbox updates automatically—you don’t need to check it yourself.**

For your EU account, this confirmation indicates that you’re ready to start coaching in the EU market.

If you have both US and EU accounts, complete setup for each account you plan to use.

### 3. Use the correct account for each session

Before joining a Microsoft Teams coaching session:

1. Check the session card, session reminder, or coachee profile.
2. Look for the coachee’s region and the account AceUp tells you to use.
3. Confirm that you’re signed in to that account in Microsoft Teams.
4. If you’re signed in to the other regional account, switch to the indicated account before joining.
5. Open the session’s meeting link and check your audio and video settings.

**When moving between US and EU sessions, check your signed-in account each time.** Don’t assume that the account used for your previous session is the correct one for your next session.

### Is an EU account required?

**Serving the EU market is optional.** AceUp may invite you to set up an EU account during onboarding or later in your coaching journey.

If you don’t want to serve the EU market, you can request to be removed from it. Your EU Teams account will then be disabled, and **you will no longer be eligible to be matched with any EU coachees**, not just those whose sessions use Teams.

If you’d like to serve EU coachees later, contact AceUp to discuss setting up or reactivating your EU account.

### Troubleshooting

#### I can’t find my sign-in details

Go to **Settings → Conferencing Services** and look for **Get sign-in details** under the relevant regional account. If the account or option is missing, contact AceUp Support.

#### Microsoft Teams is using the wrong account

Check which account is currently signed in. Switch to the regional account indicated by AceUp before joining the session.

#### I signed in, but the setup checkbox isn’t checked

Return to your AceUp Settings and check the status again. If setup still isn’t confirmed, contact AceUp Support and specify which regional account you’re trying to activate.

#### I’m not sure which account to use

Check the session card, session reminder, or coachee profile. If the regional guidance is missing or unclear, contact AceUp Support rather than guessing.
