Create and edit one-time or repeat AceUp availability time slots in order to enable scheduling coaching sessions.
Coachees are ONLY able to schedule with you during any availability time slots you've set up. Any time outside of your availability time slots will not show as available to them.

Adding one-time availability
Go to the Availability tab of the Availability section on the Coach Dashboard.
There are 2 methods of adding an availability time slot: the Add Button method and the Drag & Create method
Using the Add Button Method
Click on Add and select Availability to add a time slot.
From the popup window, you will first be asked to set the availability time slot for a specific date:
Enter the date, start time, end time, and time zone of your time slot. Make sure that Never is selected under repeat when you are adding a one-time availability time slot. Click Save.
Using the Drag & Create Method
Click anywhere on the Availability Calendar that you wish to create an availability time slot, hold down the mouse and drag downward until you see a time slot with your desired ending time.
A popup will appear asking you to select which type of time slot you would like to create: an Availability or a Blockout. Select Availability and click on the Save button to create your desired time slot.
To make it a recurring availability, click on the block of availability you just created on your AceUp calendar, select the Edit button, and follow the steps from the popup to set up a recurring event.
Adding Recurring Availability
Go to the Availability tab of the Availability section on the Coach Dashboard. Click on Add and select Availability to add a recurring time slot.
From the popup window, you will first be asked to set the availability time slot for a specific start date:
Enter the date, start time, end time, and time zone of your repeating time slot. Click on the Repeat dropdown menu select, Every week, Every month, Every year, or Custom. Click Save.
On the next screen, you can further customize the setting of the repeated availability, such as when to start and end the repeated availability, the frequency of repeat, and on which day(s) of the week, month, or year you want the availability time slot to repeat.
For example, here is a schedule that repeats on every other Tuesday, Wednesday, and Friday from November 21st, 2023 to February 23rd, 2024:
Remember to always check the Occurs every… text on the bottom of the window to confirm that your repeat availability setting is correct. Click on Save Recurrence to save the setting.
Editing Availability
There are 2 methods of editing an availability timeslot: the Edit Menu and the Drag & Edit method
Using the Edit Menu Method
To edit an availability, click on the time slot you want to edit from the calendar view directly, then click on Edit.
You will then be brought to a popup window similarly to when adding availability. Once you are done editing, click on the Apply button.
Using the Drag & Edit Method
Hover your mouse over the availability time slot that you wish to edit, and you will see a small set of white lines appear along the top and bottom edge of the availability. Click and drag on the top edge to edit the Start Time and the bottom edge to edit the End Time of that availability.
To keep the same duration of an event (i.e. keep it at 60 minutes) but move it to another date or time, click on the body of the availability time slot and drag it to whichever new time slot you want it to update to.
If this availability time slot is recurring, a pop-up will appear asking you to select which instance of the recurring availability this new update should apply to. Once you make your selection, click Save to apply the new date/time to your availability time slot.
Edit Minimum Scheduling Notice and Buffer Time Between Sessions
The AceUp scheduling tool offers ways to control how coachees book with you. Minimum scheduling notice allows you to control how much heads up a coachee must give you in order to schedule a session. Buffer times will give you options on whether or not a coachees can book back to back sessions with you.
To edit your scheduling preferences, click on the Preferences tab in the Availability section on your Coach Dashboard We highly recommend setting these preferences when you first set up your calendar to ensure that coachees can properly book sessions on your calendar, while you can keep your schedule managed appropriately.

Once you set your availability, your coachee(s) can book time with you. Here is what they see when they schedule a session from their dashboard:
- A window pops up with your calendar. When they click on a date, they will see available time slots on the right sidebar to select from.
- If you have imported an external calendar(s), the platform will only provide time slots that match your Availability, and are also free on your external calendar(s).
Note on Timezones
Please note that the AceUp platform does not automatically change your timezone selection based on your physical location. If you are traveling outside of your selected timezone, please update your selected timezone and availability.
Your selected timezone is in the upper right corner of your AceUp calendar.
Troubleshooting - Why Can’t My Coachee Schedule with Me?
If you have a coachee that is unable to schedule a session with you, but it looks like the desired time slot is available on your calendar, try the following solutions:
- Check to see if you have an “all day” event on any of your external imported calendar(s) on the day of the time slot that the coachee is attempting to schedule with you. If you do have an all day event on that day, go to your AceUp calendar, click on the all day event, and mark it as “free”. Your coachee should now be able to schedule with you.
- Check your Minimum Scheduling Notice and Buffer Time Between Sessions settings as outlined in this section to ensure that these settings are not preventing your coachee from scheduling. For example, if you have a 60 minute time slot available between 2 scheduled events on your calendar, but you have selected a 15 minute buffer after and before scheduled events on your calendar, your coachee will not see that availability on their end. Editing your preferences should allow your coachee to now schedule the time slot.
