With AceUp Ally you can get the most out of your coaching sessions.
With Ally as your coaching assistant, you can maximize the value of your coaching sessions. This innovative tool seamlessly integrates into your 1:1 meetings, securely and confidentially recording and organizing key discussion topics.
How It Works
- Activation: Once Ally has been activated for your coachee's organization, you will receive a greeting message from AceUp Ally, and your coachee will be asked to opt in.
- Coachee Opt-in: To have Ally join your sessions, your coachee needs to enable Ally from their settings and allow it to provide insights by processing your 1-on-1 session recordings. We'll make sure to give them the information they need to understand how it works.
- Session Confirmation: When using Zoom as your conferencing service, Ally will be automatically added to the call, as indicated by a session card label.
Notes:
AceUp Ally is designed to join Zoom calls exclusively. If you are using Microsoft Teams for your conferencing service, you will need to manually confirm Ally's participation at the start of each call.
- Joining the Call: AceUp Ally will automatically join your Zoom coaching session once it starts at the scheduled time.
IMPORTANT: If Ally does not join automatically, let Ally into your Zoom room.
After taking the necessary steps to connect your Zoom account, Ally should automatically join, and recording should be started. However, there could be some situations where you will need to approve Ally to join the session from the waiting room and confirm the call recording.
💡Helpful tip!
To make things easier and avoid having to approve Ally joining each of your sessions, you can use the latest version of our Zoom integration. You can do it by disconnecting and reconnecting your Zoom account to the AU platform. Follow this link to find instructions on how to reconnect your Zoom account. - Session Recording: While in the session, Ally listens actively and records the conversation.
- Session Summary: After the call ends, Ally will complete the Post-session survey for you. You can view and edit the session summary when you follow the process to mark the session as "occurred."
Note: Please note that generating the session summary notes may take some time. You will be notified via the session card once the notes are ready. Generally, this process takes just a few minutes. If you notice that the session card indicates the notes are still in progress for an extended period, please contact AceUp Support for assistance.
Known Limitations
Ally will join the session only once. If the call drops for any reason, like connection issues, Ally will not automatically rejoin the call.
Note: Although this issue is rare, we are working to find solutions to improve AceUp Ally's functionality in these scenarios. Thank you for your understanding and patience.

FAQ
- Does Ally participate in the conversation?
No, Ally doesn't participate in the conversation but observes and analyzes it to generate a comprehensive summary.
- Why is a meeting recording necessary for Ally to function?
Ally needs the discussion recording to analyze the conversation reliably and accurately. The generated summary is based on the extracted transcript and sentiment analysis. Recording data access and deletion will be handled as described in our Data Processing Addendum.
- What if the coach does not confirm the bot joining the session?
If you do not confirm AceUp Ally’s participation in the session, a session summary will not be generated. However, you can always use Ally’s help in your next sessions.
- What happens if the call is closed and when reopened the bot is not rejoining?
Ally will not be able to rejoin the session after it is closed for any reason.
- Will Ally join all my sessions?
After the coachee enables Ally, all their future sessions will include this experience.
